Site Selection
CMC & Associates has a very strong relationship with the hotel industry in the state of Florida and with several hotel groups nationally. Our site selection service is one that is provided to you at no charge. We can ascertain your needs based on your history or assist you through your first event by utilizing our national contacts and relationships we have built throughout the years. These relationships allow us to provide your group with the best possible room rate available. We do not stop at your choice of hotels. We continue our relationship with you and the hotel, negotiating the best deal for all aspects of your meeting, while minimizing your contractual liabilities. We will arrange onsite visits for you to better acquaint you with the layout and working features of a property all at no charge.
Contract Negotiations
By utilizing CMC & Associates, you gain 75 combined years of experience in the hospitality and marketing industry. Our knowledge of the hotel and food and beverage industries and our buying power in the industry allows us to bring an unprecedented advantage to your side of the bargaining table. Our interest is your interest and we want what is best for you. Conference Registration
We offer an online registration system that can be customized to your group’s event along with mail and fax capabilities. Credit card payments can be made through our secure website during the registration process. With this service, attendees can register at their leisure, day or night, and we are available assist all attendees during regular business hours by answering questions and assisting with any need that arises. Our system is accounting based and allows us to keep you informed of current registration totals and income status on a weekly or monthly basis, depending on your needs.
Accounting and Financial Management
CMC & Associates staff is highly experienced in creating and managing budgets for events with a keen sense of protecting the assets of our clients. Our accounting department is able to assist with budget development, collection of payments and provide the financial information you need on a timely basis. We are continually aware of the income to expense ratio and are able to provide reports as needed. Leave the budget to us and we will maximize your dollars spent while providing a profit that meets or exceeds your specifications.
Exhibit Show Management
CMC & Associates utilizes Shepard Exhibition Services to provide expert exhibition management that simplifies the process for your vendors while providing the personal attention needed to bring vendors back year-after-year. We provide online registration and purchase of booths and sponsorships, exhibitor kits that defines what an exhibitor needs to do, including shipping questions and setup and breakdown information. We can design the floor plan needed for an exhibit space to maximize exhibit space, traffic flow and opportunities to the exhibitors. We have the ability to create exhibitor/sponsor/partner brochures to provide them the answers to questions regarding your event. A member of CMC & Associates is available throughout the entire process to assist with any registration issues, onsite needs and post-conference vendor surveys.
Audio Visual
CMC & Associates has partnered with American Audio Visual to accommodate any audio visual requirement needed for your event. American Audio Visual always provides only the amount of equipment needed with onsite professional technicians to handle any question or technical issue that may arise. In conjunction with our partner, we are able to meet and exceed your audio visual needs anywhere in the country with the best rates available.
Onsite Registration
CMC & Associates will handle your onsite registration in a professional, friendly manner that ensures your attendees will be greeted with a smile and experience a rapid registration process. We run onsite registrations with the understanding that the attendees’ first impression of the conference is their registration process. We strive for them to walk away with a feeling of being welcomed and excited about being there, setting the stage for a successful event. This allows you to greet attendees and dignitaries or to attend pre-conference meetings without the worry of any registration issues. Our registration system allows us to register and take payments onsite and to make name badge changes without delays. For large groups with offsite lodging, we can set up registration kiosks allowing attendees to register at the hotel they are staying in, eliminating a large number of attendees registering onsite. Customized reports can be generated on a daily basis to show how many attendees have checked in and how many from each location.
Hotel/Contractor Liaison
CMC & Associates will maintain your hotel and vendor contracts and act as liaison for you to eliminate time wasted in discussions and details. We have developed strong relationships with vendors and hotels to ensure contracts are adhered to and facilitate any negations that may arise. Twelve years of experience in watching out for our client’s best interest has given us the ability to take contract issues away from your responsibilities and provide you with the best knowledge to make an educated decision.
Conclusion & Post Event meeting
Upon completion of your event, CMC & Associates will prepare a detailed post-conference report including, but not limited to, attendee lists, budget reports, profit/loss sheets, post-conference attendee and vendor survey reports and much more. We will provide these reports electronically or by hard copy and meet via tele-conference or face-to-face to review and finalize the event.
Post Event Evaluation
CMC & Associates is equipped to prepare, distribute and compile post event evaluations in the form of online surveys. We can compile this information in multiple forms including Excel spreadsheets and PowerPoint. By using us for our conference management services, this service is provided at no additional charge.
